Leave letter generator
This leave letter generator builds a school absence letter in the format Indian schools expect: To, Subject, Respected Sir or Madam, a short body, and Yours sincerely - filled in from the student, dates and reason you enter.
It works for a single day or a date range, covers eight common reasons plus a free-text option, and produces text that can be copied straight into an email or printed and handed in on paper.

A three-day fever, addressed to the class teacher
The Class Teacher,
Sunrise Public School
16 September 2026
Subject: Leave application for Rohan Verma, Class 5-A
Respected Sir or Madam,
I am the parent or guardian of Rohan Verma, a student of Class 5-A at Sunrise Public School. I am writing to inform you that my child will be unable to attend school from 16 September 2026 to 18 September 2026 (3 days), due to fever.
I request you to kindly grant leave for the period mentioned above. My child will complete any classwork or homework missed during this time.
Thank you for your consideration.
Yours sincerely,
Suresh Verma
Parent / Guardian of Rohan Verma
Why the format matters more than the words
A leave letter is read in seconds by someone who has read hundreds of them, so it works best when it looks exactly like every other one they have approved without a second thought. The five-part structure - To, Subject, salutation, body, closing - is not a style choice, it is what makes the letter instantly recognisable as a complete, proper request rather than a note that happens to explain an absence.
Why the subject line does real work
“Leave application for [name], [class]” tells the reader everything they need before reading a single sentence of the body: who this is about, and what kind of letter it is. A teacher scanning a stack of notes for one particular student's letter finds it from the subject line alone.
Why the date range phrasing changes
A single day reads naturally as “on [date]”, but a range needs both endpoints and, ideally, the total so the reader does not have to count days themselves. This generator switches the phrasing and works out the day count automatically from whatever first and last day are entered, so the letter never says something the dates do not actually support.
Why “my child” instead of a name and pronoun
The body refers to “my child” rather than a pronoun, which keeps the letter correct without asking for anything beyond the fields a leave letter actually needs. The student's name still appears twice - in the subject line and in the closing - so there is no ambiguity about who the letter concerns.
Privacy, stated plainly
There is no server call anywhere in this generator. The letter is built from your fields entirely inside your own browser, nothing is saved between visits, matching what our privacy policy promises across the whole site.
Before you send it
- Check the school's own preference - some want a letter in the student's diary, others accept email or a printed page.
- A same-day or short absence usually goes to the class teacher; anything longer or more formal often needs the principal.
- Double-check the dates before printing - the body's wording depends entirely on them.
- Nothing here is saved, so copy or print the letter before closing the tab.

About the leave letter generator
What is the correct format for a school leave letter in India?
The standard format is: the recipient's designation (The Class Teacher or The Principal) and the school name, the date, a Subject line stating it is a leave application, the salutation "Respected Sir or Madam", a short body explaining the absence and the dates, and a closing of "Yours sincerely" followed by the parent or guardian's name. This generator produces exactly that structure.
Should the letter be addressed to the class teacher or the principal?
A short, routine absence (illness, a family function, a day or two of travel) is normally addressed to the class teacher, who handles day-to-day attendance. A longer absence, or one that needs formal approval, is more often addressed to the principal. When in doubt, the class teacher is the safer default and can escalate it themselves if needed.
Can I write a leave letter for more than one day?
Yes. Set the first and last day of leave to different dates, and the letter automatically switches from "on [date]" to "from [date] to [date] ([n] days)" in the body, with the day count worked out for you.
What if the reason is not in the list?
Choose "Other" from the reason options and a text field appears - type the reason in your own words and it is placed into the letter's body exactly where the built-in reasons would go.
Is anything I type here saved or sent anywhere?
No. The letter is built entirely inside your own browser from the fields you fill in. Nothing is uploaded, nothing is stored between visits, and closing the tab clears everything - exactly what our privacy policy promises across the site.
Leave is sorted. Is the syllabus?
Even a short absence leaves a gap behind it. Message us and we will tell you plainly what needs catching up, rather than just more worksheets.
