Transfer certificate format generator
This transfer certificate format generator lays out every standard field a CBSE-style TC carries - school details, student details, dates, reason for leaving, fees, conduct and signatures - in the usual order, with the date of birth worked out in words automatically.
It is a drafting aid only. Only the school itself can issue a Transfer Certificate that is actually valid - this tool exists to make that draft faster and more correct, not to replace it.
Generate a transfer certificate draft
This is a format aid, not a valid certificate.
Only the school itself - on its own letterhead, from its own TC register, with its principal’s signature and seal - can issue a Transfer Certificate that actually counts. This tool exists so a school office has a correctly laid out draft to start from, and so a parent knows what a genuine one should contain.
Fill in the details
Every field stays on this device. Nothing is saved or sent anywhere.
Still needed: school name, student's name, admission number, date of birth, class studied in, date of leaving.
Why the fields matter, and why only a school can issue one
A Transfer Certificate is one of the few pieces of paper a school issues that another school is legally required to ask for before admitting a child. That is exactly why its layout is so standard across CBSE schools - the fields exist so a receiving school can confirm who the child is, which class they actually finished, whether their fees and conduct record are clear, and when they left. Get any of those wrong and the TC can cause a delay at the next school’s admission desk, which is the whole reason this tool tries to get the layout right rather than leaving it to memory.
The fields, and why each one is there
Name, guardian’s name, nationality and date of birth identify the child unambiguously, which is why the date of birth is stated in both figures and words on a genuine TC - a simple check against a figure being altered later. Admission number and the classes admitted in and last studied in establish which academic record the certificate refers to. Whether the student qualified for promotion, the date of leaving, the reason for leaving, and whether fees were paid are the parts a receiving school checks most closely, since they cover exactly the questions an admission office is required to ask.
Why this cannot be the final document
A Transfer Certificate is a legal record drawn from a school’s own TC register, carrying a serial number the school itself assigns, an authorised signature and the school’s seal. None of that can come from a page on the internet, and we are not going to pretend otherwise. What this tool can do is get the fields, their order and their wording right, so whoever types the final version - usually a school office - is filling in a correct template rather than starting from a blank page or an old, possibly outdated sample.
If a family is moving overseas
A TC matters most in exactly the situation where it is easiest to get wrong under time pressure: a family relocating partway through a school year, often to the Gulf, where a new school will ask for the original TC, often attested, before admission is finalised. Knowing what a genuine TC should contain, ahead of asking the current school for one, is worth doing before the move itself, not after arriving.
Privacy, stated plainly
Every field here stays in your browser. Nothing is sent to a server, nothing is logged, and the draft disappears once the tab is closed unless you have printed or copied it yourself, matching what our privacy policy promises across the site.
Before you rely on this draft
- Only the issuing school can make a Transfer Certificate valid - this is a draft, not the document itself.
- Check the admission number and dates against the school's own register before typing the final version.
- A genuine TC needs an authorised signature and the school seal - neither can come from this page.
- Print the draft once it looks right, and hand it to the school office as a starting point.

About the transfer certificate format generator
Is a TC generated here a valid Transfer Certificate?
No. A Transfer Certificate is a legal school record, and only the issuing school - on its own letterhead, drawn from its own TC register, signed by its authorised signatory and carrying its seal - can issue one that is valid. This tool only arranges the standard fields correctly so a school has less retyping to do, and so a parent knows what a genuine one should contain.
What fields does a Transfer Certificate normally include?
Common fields are the student's name, parent's or guardian's name, nationality, date of birth in figures and words, admission number, class admitted in and class last studied in, whether the student qualified for promotion, the date of leaving, the reason for leaving, whether fees were paid, general conduct, remarks, and signatures from the class teacher and principal. This generator covers exactly that set.
Why does the date of birth show in words as well as figures?
A genuine Transfer Certificate typically states the date of birth in both figures and words, as a check against alteration. This tool works the words out from the date you enter rather than asking you to type them separately, so the two can never disagree.
Can a school actually use this draft?
Yes, as a starting point. A school office can fill in the fields here, print the draft, and use it as a checklist while typing the final certificate onto the school's own letterhead in its own register format. The draft itself is not the final document - the school's own copy, correctly signed and sealed, is.
What if my child's school gives a TC that looks different from this?
That is expected and fine. States, boards and individual schools vary the exact wording, order and letterhead of a TC. What matters legally is that the school's own copy carries the required information, a valid signature and the school seal - not that it matches any particular layout, including this one.
Is anything I type here saved or sent anywhere?
No. The whole draft is built inside your own browser. Nothing is sent to us or to anyone else, and nothing is stored between visits - the draft disappears once you close the tab unless you have printed or copied it yourself, exactly what our privacy policy promises across the site.
